Marketing & Operations Assistant

Role Overview

Are you a marketing professional with a strong technical background? Do you excel at driving B2B lead generation and managing all aspects of a company's digital presence? We are looking for a highly skilled and proactive Marketing and Operations Assistant to join our team. This is a crucial role for a self-starter who can handle everything from ad execution and B2B lead generation to website maintenance.

The business is an established service provider since 2009, offering expert cleaning and restoration services across Australia. We're passionate about delivering perfectly finished results and are now seeking a replacement for our previous assistant with a higher-level skill set. The ideal candidate will take over tasks currently managed by the owners, focusing on marketing execution rather than strategic planning.

  • Website Management & Technical Support:
    • Ensure the website remains fully functional, up to date, and optimised for performance.
    • Carry out maintenance, page builds, and enhancements on our custom WordPress site using coding knowledge as needed.
    • Troubleshoot and resolve technical issues, implement updates, and provide ad hoc support as new needs arise.
  • SEO & Digital Growth:
    • Manage SEO for measurable natural growth, including technical SEO, on-page optimisation, and content recommendations.
    • Run and test targeted digital ads (Google Ads, social) to ensure optimized campaigns.
    • Support continuous improvement of conversion funnels, landing pages, and forms.
  • Marketing Content & Campaign Execution:
    • Create professional, high-quality marketing assets and documents (Canva, Mailchimp, or similar tools).
    • Manage CRM setup and campaign workflows, including integrations with service software.
    • Execute digital campaigns (email, social, ads) that align with broader KPIs.
  • Lead Generation & Business Development Support (B2B Focused):
    • Proactively scrape and qualify leads in target markets (e.g., insurance builders).
    • Support warm B2B introductions by identifying and initiating outreach to qualified contacts.
    • Ensure all leads are captured and nurtured within the CRM.
  • Reporting & Communication:
    • Provide monthly KPI reports covering website functionality, SEO growth, campaign performance, and funnel metrics.
    • Include actionable insights and recommendations in all reports.
    • Maintain clear and professional communication in English (written and verbal).
  • Ad Hoc Tasks:
    • Troubleshoot technical marketing needs as they arise.

Technology Stack

  • WordPress: The core content management system for the company's custom-built website. The VA will be responsible for maintenance, updates, and new page creation.
  • Canva: A design platform used to create professional marketing materials and other visual content.
  • Mailchimp: An email marketing platform used for CRM setup, management, and for running marketing campaigns.
  • Google Tools (Analytics, Search Console): Essential for SEO management, performance tracking, and delivering monthly KPI reports.
  • Google Ads & Social Media Platforms: Used for executing and monitoring test ad campaigns.
  • CRM (e.g., Mailchimp) & Service Software: The VA will be responsible for setting up and managing integrations between these platforms.

Key Qualifications

  • Experience and Background:
    • Strong experience in marketing execution and B2B lead generation.
    • A background in a marketing agency is highly preferred.
    • Experience with client-facing roles is a plus.
  • Technical & Coding Proficiency:
    • Strong WordPress experience is a non-negotiable, with the ability to perform maintenance, updates, and build new pages on a custom-built site.
    • Familiarity with coding (PHP, SQL, and CSS) is required for making website enhancements.
    • Experience with CRM setup and management, including integrations.
    • Proficiency in Google tools and platforms is essential for reporting and analytics.

  • Mindset:
    • A proactive and independent problem-solver who can troubleshoot technical issues as they arise.
