We are seeking a (Part-Time VA) to act as a dedicated marketing and administrative partner.
This is a hybrid role with a heavy focus on Marketing and Creative Administration (approx. 70%) and Ad-hoc Admin/Operations (approx. 30%). You will be responsible for executing our marketing strategy using professional media assets and ensuring our internal administrative systems run smoothly. This role is designed to take the leadership team "off the tools" to focus on strategic growth and sales.

Marketing & Creative Execution
- Content Calendar & Scheduling: Develop and maintain a consistent monthly content calendar. You will be responsible for the end-to-end scheduling of all posts to ensure a steady brand presence.
- Social Media Management: Execute daily management of social platforms via Meta Business Suite. This includes engaging with followers, responding to comments, and using our professional drive of site photography and videos to create high-quality posts.
- Google Business Optimization: Regularly update and optimize our Google My Business listing with new photos, project updates, and posts to improve local SEO and visibility.
- SEO & Web Management: Manage the backend of our Squarespace website, updating metadata, alt-text for images, and ensuring the site flow remains high-quality.
- Ads & Analytics: Set up and monitor Meta ad campaigns. Analyze performance data to suggest "pivots" in strategy to improve organic and paid reach.
- Email Marketing: Design and manage lead nurture sequences and email newsletters to keep our brand top-of-mind with high-end builders.
Administrative & Operational Support
- SOP Development: Document business processes and create Standard Operating Procedures (SOPs) for administrative tasks.
- System Maintenance: Assist with data entry and basic task management within Aroflo (Job Management) and Xero.
- Compliance & HR: Manage staff timesheets, track subcontractor performance, and maintain safety documentation (SWMS/WHS).
- Client Coordination: Manage the general email inbox, responding professionally to inquiries from builders and private clients.

- Squarespace: Website management and SEO optimization.
- Meta Business Suite: Social media scheduling, engagement, and Facebook/Instagram management.
- Meta Ads Manager: Campaign setup, audience targeting, and performance tracking.
- Google My Business: Local SEO and business profile optimization.
- Aroflo: Primary platform for job management and operational data. (Good to have)
- Xero: Financial management and bookkeeping support. (Good to have)
- Canva: Graphic design for social media and brand collateral.
- Jotform: Document creation and data collection.
- Google Suite: Professional email, document storage, and internal coordination.
- Digital Marketing & Creative Technical Skills
- Platform Expertise: Proven experience managing Squarespace (backend updates/layout) and Meta Business Suite (scheduling and ad management).
- SEO Proficiency: Solid understanding of on-page SEO, specifically managing metadata, keyword placement, and image optimization for search rankings.
- Data Analysis: Ability to interpret social media and web analytics (reach, engagement, conversion) and translate them into actionable strategy adjustments.
- Canva Mastery: High competency in Canva to create brand-consistent collateral, social posts, and lead magnets.
- Specialized Technical Knowledge
- Meta Ads: Ability to build targeted ad sets, manage budgets, and perform A/B testing within Meta Ads Manager. You must understand how to navigate the "Campaign, Ad Set, and Ad" hierarchy to drive lead generation.
- Google My Business: Deep understanding of GMB optimization, including utilizing keywords in business descriptions, managing reviews, and using the "Updates" feature to boost local ranking.
- Squarespace: Competency in managing block layouts, updating galleries with new project photos, and ensuring mobile responsiveness.
- Software & Admin Proficiency
- Job Management Tools: Prior experience with Aroflo or similar trade-based job management software is highly preferred.
- Financial Tools: Familiarity with Xero (Nice to have) specifically for verifying bill imports and basic expense tracking.
- Google Workspace: Expert-level use of Google Drive, Sheets, and Gmail for professional communication and file organization.
- Industry Knowledge & Communication
- Trade Industry Background: At least 2 years of experience in an admin or marketing role within the construction, roofing, or property development sectors.
- High-End Communication: Exceptional written and verbal English skills. You must be comfortable communicating with "high-end" builders and professional stakeholders with a polished, professional tone.
- Operational & Personal Attributes
- Systems-Minded: A natural ability to see a "once-off" task and turn it into a documented SOP or repeatable process.
- Proactive Ownership: We are looking for a "partner," not just a task-taker. You should be someone who anticipates needs and takes ownership of the marketing calendar without constant prompts.
