Rate: P25,000 - P30,000 / month
We are seeking a seasoned, high-level Virtual Assistant to act as the central operational hub. This role transitions the business from a reactive state to a systematized operation, allowing the founder to be "hands-off" with routine tasks. The ideal candidate is a proactive, tech-savvy professional who can manage the full lifecycle of project delivery, client nurturing, and detailed performance reporting.
Tasks and Responsibilities
Lead & Client Management
- Monitor Go High Level daily to qualify leads and update customer profiles.
- Review intro calls and prepare summaries for strategy sessions.
- Manage calendar invites and handle client inquiries following established SOPs.
Operations & Project Coordination
- Execute client onboarding, including agreements and Google Drive setup.
- Build and maintain Notion Client Portals, production schedules, and AI-generated personas.
- Coordinate with editors and designers to ensure on-time project delivery.
Post-Production & Delivery
- Create "Social Kits" (titles, hooks, and descriptions) and manage final asset approvals.
- Schedule monthly content and manage account access via Meta Business Suite.
Reporting & Analytics
- Maintain weekly ROAS sheets (impressions, clicks, and appointments).
- Track and analyze Client CPA via spreadsheets to support growth strategies.
Tech Stack
- Notion: (Advanced level) Primary client-facing portal and project tracker.
- Go High Level: CRM for lead management and automated booking.
- Meta Business Suite: For content scheduling and ad analytics.
- AI Tools: ChatGPT and Claude for content generation and carousel creation.
- Canva Pro: For creating carousels and basic visual assets.
- Google Workspace: For Gmail, Drive, and Sheets-based reporting.
- Notion Expert: Advanced ability to build and optimize complex client portals and trackers.
- CRM & Social Ops: Proven experience with Go High Level and Meta Business Suite (scheduling and access management).
- AI & Design: Proficient in using ChatGPT/Claude for content drafting and Canva Pro for visual assets.
- Analytical Skills: Ability to translate raw Meta data into actionable ROAS and CPA reports.
- Operational Mindset: Experience managing the production lifecycle and working with internal creative teams.
- Soft Skills: Proactive problem-solver with exceptional written communication and the ability to handle high-urgency "busy seasons."
