Rate: P50,000/month 

Our client is a New South Wales-based electrical services firm expanding rapidly into the solar and battery installation sector. We are looking for a dedicated Full-Time Customer-Focused Admin Assistant to join our team and help streamline our operations.

Responsibilities

Tasks and Responsibilities

Solar & Technical Administration

  • Utilize solar and battery design software to assist in job preparations.

  • Manage and submit Grid Applications via the Essential Energy portal (NSW Distribution Network).

  • Coordinate technical data between design platforms and energy retailers/distributors.

Job & Lead Management

  • Manage incoming leads and customer data within the CRM.

  • Convert voice recordings (Whisper Memos) into accurate job notes and descriptions.

  • Schedule site works and coordinate appointments with both clients and subcontractors.

Financial & Compliance Admin

  • Execute daily invoicing and track billable hours and materials.

  • Follow up on overdue payments and act as a liaison for the company bookkeeper.

  • Manage and generate SWMS (Safe Work Method Statements) and other WHS compliance documentation.

Tech Stack

The successful candidate will work with the following tools:

  • Job Management: Simpro

  • CRM: Trade.ai

  • Solar Design: Pylon

  • Financials: Xero

  • Grid Portal: Essential Energy

  • Productivity: Whisper Memos (Voice-to-Text), Loom (SOP Videos)

Qualifications
  • Technical Proficiency: Familiarity with Australian energy distribution networks (specifically Essential Energy) and trade management systems like Simpro.

  • Software Literacy: Experience or a high aptitude for learning solar design software (e.g., Pylon) and CRM platforms (e.g., Trade.ai).

  • Administrative Skills: Ability to synthesize raw voice-to-text data into professional notes and maintain meticulous documentation (SOPs, SWMS).

  • Communication: A confident phone manner for appointment setting and lead follow-up.

  • Proactivity: A growth mindset with the ability to identify and automate admin-heavy tasks.

  • Detail-Oriented: Meticulous data entry skills to ensure accurate profit margins on battery installs.
